Tache Obstetrics is a well-established and highly respected medical practice in Winnipeg, providing specialized care in obstetrics and gynecology. The Opportunity

Reporting to the physician group, the Clinic Manager is responsible for overseeing all aspects of clinic operations, ensuring a high standard of patient care, staff performance, and administrative efficiency. This is a hands-on leadership role requiring strong organizational skills, attention to detail, and the ability to balance operational priorities in a fast-paced clinical setting.


The successful candidate will act as a central point of coordination between physicians, staff, and external partners, ensuring the clinic operates smoothly and efficiently on a day-to-day basis.


Key Responsibilities

Clinic Operations & Leadership

  • Oversee daily clinic operations, ensuring efficiency, consistency, and high-quality patient care
  • Lead, coach, and support Medical Office Assistants (MOAs), including scheduling, performance management, and training
  • Manage staff scheduling, vacation approvals, and coverage to ensure continuity of operations
  • Conduct regular performance evaluations and support staff development
  • Maintain strong communication between physicians and staff, relaying priorities and updates

Patient Experience & Workflow Optimization

  • Ensure efficient patient intake, appointment scheduling, and clinic flow
  • Address non-clinical patient concerns with professionalism and discretion
  • Implement strategies to improve patient and physician satisfaction, including workflow improvements
  • Ensure all patients are treated with respect and dignity

Administrative & Financial Oversight

  • Oversee clinic finances, including accounts payable, payroll, and reconciliations using QuickBooks
  • Manage payroll processing and ensure timely submissions
  • Monitor expenses and support budget management and cost control initiatives
  • Prepare financial summaries and operational reports for physicians on a regular basis
  • Oversee patient payments, documentation, and reconciliation

Billing & Compliance

  • Ensure accurate and timely billing submissions to Manitoba Health
  • Support insurance claims, billing inquiries, and resubmissions as needed
  • Ensure compliance with healthcare regulations, including PHIA and HIPAA standards
  • Maintain accurate documentation and records across all administrative functions

Logistics & Office Management

  • Manage inventory, supplies, and equipment maintenance
  • Ensure exam rooms and office spaces are properly stocked, clean, and functional
  • Coordinate repairs and oversee facility upkeep
  • Maintain relationships with external partners including hospitals, ultrasound departments, and other medical units

Systems & Process Improvement

  • Develop a strong understanding of EMR systems and clinic workflows
  • Identify opportunities to improve efficiency, processes, and overall clinic performance
  • Support onboarding and training of new staff and provide coverage when required

Qualifications

  • 3–7+ years of experience in a clinic, healthcare, or service-based management role
  • Strong leadership experience with the ability to manage and develop teams
  • Experience overseeing clinic operations, scheduling, and administrative functions
  • Working knowledge of billing processes and healthcare systems is an asset
  • Experience with financial management, payroll, and reporting
  • Proficiency with EMR systems and clinic software; QuickBooks experience is an asset
  • Strong organizational and time management skills
  • Excellent communication and interpersonal abilities
